NextGen Share Registry Pvt Ltd is a SEBI-registered Registrar and Share Transfer Agent. This policy sets out how we handle personal and shareholder data, both on this website and in the course of the registrar services we provide.
Who we are
NextGen Share Registry Pvt Ltd (CIN U66190DL2024PTC431604) is a Registrar and Share Transfer Agent registered with the Securities and Exchange Board of India under registration number INR000004422. Our registered office is at 301, 3rd Floor, Pratap Chambers, Gurudwara Road, Karol Bagh, New Delhi 110005, India.
This policy explains what personal data we handle, why we handle it, how long we keep it, and the rights available to you. It applies to this website and to the registrar and transfer agency services we provide to issuer companies and their investors.
What data we collect
From website visitors, we collect only what is needed to respond to an enquiry: the name, email address, phone number and message you submit through a contact or newsletter form. We also collect standard technical data such as IP address, browser type and pages visited, used in aggregate to keep the site working and secure.
In our capacity as a registrar and transfer agent, we process shareholder and investor records supplied by, or on behalf of, the issuer company. This may include name, address, PAN, bank account details, demat account and DP identifiers, folio number, shareholding and transaction history, nomination details, and correspondence relating to grievances. This data is processed on the instructions of the issuer company and under the regulatory framework governing RTAs.
Why we process it
Website enquiry data is used solely to reply to you and to maintain a record of the correspondence. We do not use it for unrelated marketing.
Shareholder data is processed to maintain the register of members, effect transfers and transmissions, dematerialise and rematerialise securities, generate ISINs, process corporate actions such as dividends, bonus issues, splits and rights issues, service investor grievances, and meet the reporting obligations placed on us by SEBI, the depositories NSDL and CDSL, and the Companies Act, 2013.
Legal basis and regulatory obligations
Our processing of shareholder data is required for the performance of our contract with the issuer company and for compliance with legal obligations, including the SEBI (Registrars to an Issue and Share Transfer Agents) Regulations, 1993, the Companies Act, 2013, the Depositories Act, 1996, and applicable anti-money-laundering and KYC requirements.
Who we share data with
We do not sell personal data and we do not share it for advertising purposes.
We disclose data only to: the issuer company whose register we maintain; the depositories NSDL and CDSL; regulators and statutory authorities including SEBI, stock exchanges and tax authorities where required; banks and payment intermediaries for the purpose of paying dividends or refunds; and service providers who host or support our systems under contractual confidentiality obligations.
How long we keep it
Shareholder and transaction records are retained for the minimum periods prescribed by SEBI regulations and the Companies Act, 2013, which in most cases is eight years from the completion of the relevant transaction, and longer where a dispute, investigation or legal proceeding is pending.
Website enquiry data is retained for up to twenty-four months from the last correspondence, unless you ask us to delete it sooner.
How we protect it
We apply access controls so that staff can reach only the records their role requires, encrypt data in transit over HTTPS, keep systems patched, and maintain backups. Access to depository systems is governed by the security requirements of NSDL and CDSL. We review these controls periodically as part of our compliance obligations.
Cookies and analytics
This website uses only the cookies necessary for the site to function, together with privacy-respecting aggregate analytics used to understand which pages are visited. We do not use advertising cookies or cross-site tracking. Your browser can be configured to reject cookies, and the site remains usable if you do.
Your rights
You may ask us to confirm what personal data we hold about you, to correct data that is inaccurate, to delete data we are not required by law to retain, and to withdraw consent where processing is based on consent.
Where we hold your data as the registrar acting for an issuer company, some requests must be routed through that company, and we will tell you when that is the case. Requests should be sent to info@nextgenregistry.com with enough detail to identify your record, such as your folio number or DP and client ID.
Grievances
If you are not satisfied with how we have handled your data or your request, write to info@nextgenregistry.com. If the matter remains unresolved, you may escalate it through the process set out on our grievances page and, ultimately, to SEBI through the SCORES portal.
Changes to this policy
We will update this page when our practices change. The date below records the most recent revision. Material changes affecting shareholder data will additionally be communicated to the relevant issuer companies.
